Link documents to share transactions and governing body actions

Link relevant documents (such as notarial deeds, share purchase agreements, board/shareholder resolutions, auditor reports etc.) to a specific share transaction or governing body action.

2. Access and manage documents attached to a share transaction or governing body action within the 'Documents' section

After a share transaction or governing body action has been executed, related documents can also be attached, consulted and managed within the 'Documents' section of the relevant legal entity.

3. Copy transaction documents to a regular document folder

Documents linked to a share transaction or governing body action can also be copied to a regular document folder (i.e. a non-transaction folder).

In this case, the copied transaction documents can be consulted and managed

  1. within a share transaction/governing body action;
  2. within the relevant transaction folder in the 'Documents' section; and
  3. within the regular document folder in the 'Documents' section where the transaction documents have been copied to.

Note that when document details, labels, reminders, ... are added/altered, these changes will be automatically applied to all copies , regardless the location of the documents.

However, if a copied document (or the original document) is deleted, it will only be deleted from the specific location where it is actually deleted. The remaining original/copies are retained in their respective locations.

4. Link existing documents to a share transaction or governing body action

Documents that are stored in a regular document folder (such as notarial deeds, share purchase agreements, board/shareholder resolutions, auditor reports etc.) can easily be copied to a transaction folder in the 'Documents' section.

By copying these documents to a relevant transaction folder, these documents are linked to that transaction.

In this case, the copied documents can be consulted and managed

  1. within the regular document folder in the 'Documents' section in which the have been previously uploaded
  2. within a share transaction/governing body action accessible via the 'Transactions'/'Actions' tab of the relevant share register/governing body; and
  3. within the transaction folder in the 'Documents' section where the documents have been copied to.

5. Link involved entities/persons to transaction documents

Entities/persons involved in a share transaction/governing body action (e.g. the involved subscribers in a share issuance, the transferors/transferees in a share transfer, the appointed/dismissed directors, etc.) can be linked to the relevant transaction documents (the notarial deed, the share purchase agreement, the shareholders resolutions etc.).
